Inside HeyWilliam

Your morning, sorted.

Will works through new orders as they arrive. You get a short list of things that need a yes.

  • One list, every morningOrders that are ready, orders missing something, prices that do not match.
  • One button eachApprove a shipment, send a drafted request, accept a price. Will does the rest.

What Will does

The jobs that eat your afternoons.

Will works in the tools you already use: your inbox, your spreadsheets, distributor portals, courier websites and your accounting software.

  • 01

    Orders in

Reads orders from email, PDF attachments and distributor portals, and matches product descriptions to your own part numbers.

  • 02

    Price checks

Checks every line against the right price list, whether that is end customer or distributor, UK, EU or US, and flags anything that does not match.

  • 03

    Shipping

Works out boxes and weights from your product and box-size spreadsheets, creates the FedEx or UPS label and sends the paperwork to your warehouse.

  • 04

    Customs paperwork

Prepares the commercial invoice and packing list with HS codes, origin statements, EORI numbers and Incoterms, so parcels do not get held at the border.

  • 05

    Quotes

Drafts replies to requests for quotes from your price lists, ready for you to check and send.

  • 06

    Follow-up

Sends tracking numbers to customers, updates distributor portals, and warns you about unshipped orders and low stock.

How it works

Will prepares. You say yes.

You don't configure software. We set Will up around the way your business already runs, and look after him from then on.

  1. 1

    We learn how you work

We map how orders reach you, which spreadsheets and price lists you rely on, and where things get typed twice. Old desktop accounting software is fine.

  2. 2

    Will prepares, you approve

At first every shipment, quote and invoice waits for a person to say yes. As you build trust, you choose what Will can do alone.

  3. 3

    We keep it running

Portals change, price lists get updated, new customers arrive. We look after Will so your team never has to.

UK–EU shipping

Every EU parcel needs paperwork. Will prepares it.

Since Brexit, a missing HS code or origin statement can mean a parcel held by the courier or sent back. Will builds the documents from the order and your product data, inside the same flow that books the shipment.

  • Commercial invoiceHS codes, values and currency for every line.
  • Packing listBox counts, dimensions and weights that match the label.
  • Origin statementSo qualifying goods travel tariff-free under the UK–EU trade agreement.
  • EORI numbers and IncotermsFilled in for both sides, every time.

Will prepares the documents. Your courier or customs broker still files the declaration.

FAQ

Questions distributors ask us.

Do we have to change our software?

No. Will works with the tools you already use: email, spreadsheets, distributor portals, courier websites and your accounting system, including older desktop versions.

Does Will act without asking?

Only when you say so. At the start, every shipment, quote and invoice waits for a person to approve it. You decide, step by step, what Will can do alone.

Who sets it up and looks after it?

We do. We map how your orders flow, set Will up around it and keep it running. When a portal or price list changes, we handle it.

Is it only for UK companies?

No. We work with distributors in the UK, Europe and the US. UK–EU customs paperwork is one place Will can help from day one.

What does it cost?

A one-off setup fee and a monthly fee, based on how much work Will takes off your team. Book a call and we will quote once we have seen how your orders flow.

What happens to our data?

It is used only to do your work. We are a UK company and handle personal data under UK GDPR. See our privacy policy for the details.
